Vision Docman is a document management system developed for Vision users. It improves the way documents are moved around the practice and speeds up communications with external organisations.

Practices using Vision will benefit from improved security and availability of their patient-related correspondence and other practice documents.

Vision Docman is developed in association with PCTI, the leading supplier of healthcare-based document management solutions.

Waste less paper

Practices using Vision Docman use less paper. As well as allowing practices to move electronically created documents around the practice, old paper-based records can be scanned and converted into electronic files that won't wear out, get ripped or suffer from damage such as coffee spillages.

Because Vision Docman holds documents electronically, valuable floor space occupied by filing cabinets can be reclaimed and used for other purposes.

Communicate faster

With Vision Docman information reaches the right person at the right time. It automatically workflows documents to the appropriate people within the practice, which is faster and more secure than moving paper around the practice. Vision Docman also allows documents to be sent to more than one person at the same time.

Automatic filing with Vision Docman Plus

Vision Docman Plus enhances the functionality by adding Intellisense, which automatically recognises a document and the patient it belongs to based on its content.

By analysing the document text and extracting key information (such as the date of birth, NHS/CHI number and patient name) Vision Docman Plus can match the document to the correct patient.

The document is then compared against a set of practice-specific templates to determine its source and content. For example, a practice might have a pre-defined template that allows Vision Docman Plus to identify the hospital, the department, the consultant and the document type.

Improve data quality with intelligent summarising

Having filed the document against the patient's clinical record, the summarising element of Vision Docman Plus extracts diagnosis Read codes using sophisticated proximity algorithms and relevance scoring. During the summarising process the patient's clinical history can be referenced, along with the text from the document being summarised and the prioritised extracted Read codes.

Vision Docman Plus works with...

Vision Docman Plus is compatible with scanned documents as well as Microsoft Word, HTML, RTF, TXT and CSV files. Scanned documents filed with Vision Docman Plus are automatically converted into text using optical character recognition (OCR) technology.

 EDT for Vision Docman

Docman Electronic Document Transfer (EDT) provides a secure, reliable, flexible solution for  the  electronic  communication  of  documentation  between  secondary  and  primary care.

EDT  enables  GP  practices  to  receive electronic  documents  directly  into Docman  for  filing  into  Vision  3  and onward workflow. EDT is currently being used for receiving discharge summaries, discharge letters, encounter  reports,  radiology  reports, outpatient clinic letters and out-of-hours reports. These documents are delivered directly  into  the Docman workflow  and filed into Vision 3.

Benefits to Primary Care:

• Electronic documents are delivered to the practice automatically at pre-defined intervals
• The solution offers high levels of security delivering documents over N3 using HTTPS (SSL Security)
• All incoming documents are received in the same way, irrespective of the sending system in secondary care
• Documents including ‘meta-data’ (patient and document information) are auto-filed with minimal user intervention

iWorkflow for Vision Docman

iWorkflow is an extension to Docman that saves time for GPs and practice staff.

 

 

It allows documents to be processed more efficiently by distributing documents around the practice intelligently according to the actions assigned to the document. For example, adding an action of ‘appointment with doctor’ could send the document to the group of receptionists, while a ‘Read code highlighted’ action could send the document to the summarising team. 

 

 

 

 

 

 

iWorkflow also includes ‘Quick Steps’ that allow several tasks to be carried out with a single mouse click.

The clean, easy-to-use interface facilitates a fast workflow process, enabling practices to spend less time specifying where documents should go, and more time on patient care.
