Mail Manager Performance

It is essential that practices complete actions as Helpline has found some practices where there are thousands of incomplete actions and this will affect the performance of your system.

Patients Disappearing from Vision

We have found an issue with a number of practices where patients had gone missing from within Vision.
We have found the only way this can be replicated is if a registration is done and at the very final screen instead of clicking on OK the user clicks CANCEL.
It should be noted that if a registration process is started and you are at the screen below it is possible to select the patient in Consultation Manager (add history etc) and Appointments (make bookings for this patient) and still cancel the registration process at the end.
Therefore it will appear that the patient is on the system but when searching for them, they do not appear.
Until such time as a fix for this problem is made available, please ensure that you DO NOT click Cancel on the buttons in the registration screen.

We would also strongly advise that you fully complete the registration process and ensure that the patient shows up on the system before adding any data, booking any appointments, etc.

Please ensure all practice staff who are involved in processing patient registrations are aware of this issue.

Urgent Demographic Batch Service Bulletin

NHS CFH has identified an issue with files processed overnight by the Demographics Batch Service (DBS) on Monday 22nd and Tuesday 23rd March. The issue relates to submitted NHS numbers containing spaces which resulted in the response file truncating the NHS number to 8 characters, making them invalid.

The issue has now been resolved and NHS CFH is contacting all organisations that have submitted affected trace files. 

We would advice that any patients registered on Monday or Tuesday, be re-traced to confirm that the correct NHS number has been received. This will only affect PDS registrations done with the smart card in.

Adcal D3 Vision Issue

Due to a number of recent drug dictionary updates, certain drugs that have been partially replaced with new drugs have presented a problem when the Repeat comes up for re-authorisation.  Vision will present the user with an empty Drug Replace box for the affected items, but clicking Accept will give “Error: Could not process selection”.  The only option is to cancel out of the re-authorisation and create a brand new Repeat for the affected item. 
 
Only a handful of products are affect by this update, but most notably ADCAL –D3 chewable tab (fruit).  The Lemon flavour is not affected as it will present valid options in the Drug Replace box.
 

This issue is expected to be corrected with DLM300, but until that time, re-authorisations of the affected items will not be possible without creating new Repeats

Med 3 Fit Note

We have been made aware of the new Fit Note only in the last few weeks and all we have is the same documentation that was distributed to GP practices by the Dept of Work and Pensions. There do not appear to be any IT requirements yet, from anyone, but we have made enquiry of Connecting for Health.  If anyone hears of any, we would be pleased to hear from you.

The new form is still called the “Med3” so no new Readcode is expected. The new Med3 form has additional data fields that could be recorded in the patient record, but will not fit in our existing SDA structure. We would like to wait until any IT requirements emerge before committing to any development of the Med3 SDA.

In meantime we advise practices to continue to use existing Med3 SDA and write additional information in the freetext field.

PP01 Error in Scotland: UPDATED

UPDATE 17/03/2010

Please be advised that we are currently deploying SIS10010.

SIS10010 contains the fix for the problem with the PP01 numerator lines for Scottish practices since the audits for the version 16 business rules have been installed
 

This applies to Scottish practices only.

There has been a problem with the PP01 numerator lines for Scottish practices since the audits for the version 16 business rules have been installed. The associated Data Quality audits imported a search for the CVD risk assessments that overwrote the Scottish search with one for England. This means that the ASSIGN scores are not currently showing as counting towards the PP01 denominator.
 
A fix has been written and is currently being tested. As soon as this is available we will be applying an upgrade to all Scottish sites. We expect this to be installed very quickly but will also be posting the fix on the website should you wish to apply this earlier. In the mean-time please continue to use the ASSIGN score as normal as they will be picked up in the final report.
 
Apologies for this error, but we hope to have this rectified as soon as possible. We will let you know once we have any further information. (see above - the fix for this issue is currently being deployed).

Authentication Service errors on the Spine

BT have restarted one of their authentication servers on the Spine and this issue has now been resolved.

We have had several reports of sites experiencing slowness and freezing this morning whilst using the system.

We have spoken to the CfH helpdesk who have advised that there is an authentication issue on the Spine.

We are advising users to log in without their smartcards for now; we will provide updates when we recive them.
